1. Update iOS
Install the latest iOS update available for the device:
- Open Settings > General > Software Update.
- Install an available update and restart the iPhone.
2. Enable Auto Convert to Tag
If typed hashtags do not become active tags:
- Open Settings.
- Select Apps > Notes.
- Enable Auto Convert to Tag.
- Open a note, type a tag such as #work, and add a space or press Return.
The tag should change color when Notes recognizes it.
3. Create a New Smart Folder
- Open Notes and go to the Folders screen.
- Tap the New Folder button.
- Enter a name and select Make Into Smart Folder.
- Choose the required tags or other filters.
- Save the Smart Folder.
If the new folder works, review the filters in the original Smart Folder. A folder can appear empty when none of the notes match all selected criteria.
4. Check Where the Notes Are Stored
Notes features can vary by account provider. Check whether the affected notes are under iCloud, On My iPhone, Gmail, Exchange, or another account. If the required tag or Smart Folder options are unavailable in a third-party account, test the feature with a note stored in iCloud. Move or copy important notes only after confirming that they are synchronized or backed up.
5. Check Folder Conversion Restrictions
Apple states that a standard folder cannot be converted into a Smart Folder when it:
- is a shared folder;
- contains a subfolder; or
- contains locked notes.
Remove the restriction or create a new Smart Folder instead. Apple also warns that converting a folder moves its notes to the Notes folder and applies the folder name as a tag, so review the result before converting an important folder.
6. Restart Notes and Check iCloud Sync
Close and reopen Notes, restart the iPhone, and allow time for iCloud to synchronize. You can also check Apple’s System Status page for an active iCloud Notes outage. Avoid deleting the Notes app or signing out of iCloud unless your notes are safely synchronized or backed up.
When to Contact Apple
If Smart Folders still fail in iCloud after updating iOS and verifying the settings and restrictions, contact Apple Support. Describe the affected account, the filters used, and whether a newly created Smart Folder works. Do not claim that Apple will “reset the Notes database”; the required action depends on the diagnosis.
